4/12/14 HOA Meeting Minutes

PRESENT: All Attending

AGENDA: 
1) Discuss plan for replacing lost trees or not. If so, determine how many to replace and who will get quotes and by when, etc.
2) Discuss mowing of common areas and weeding of entrance beds and possibly pruning of trees. Do we need to hire this out or do we have enough participation from within the community? Do we need to consider reimbursing mowers for gasoline?
3) Discuss remnants of old sign (bricks and debris).  How can we get rid of that?
4) Discuss when to add a new sign and who will get quotes and by when.
5) Hear more from Randy on his ideas for the road and his plans for getting bids.
6) Make tentative plans for Memorial Day party: set date and location (we are happy to volunteer to host if people would like so kids/people can enjoy the pool)

DISCUSSION:

1) TREES: Add in Fall. Kiefer Nursery (used previously)
Crate Myrtles - complimentary tree is a Wax Myrtle.
   -issues Japanese Bugs
Black Gum (already some)
Maple (already some)
Ginkgo Biloba?
Current trees at entrance beds: Miami Crape Myrtle & Hayman Red Black Gum

2) COMMON AREAS:
April - October for mowing
Quote: $175 per mowing, up the side of the road ($350/month)
Idea: Forgiving dues for signing up $10 per mow
For weeds: Pelletized corn gluten (by railroad tracks - Lawn and Garden place?)

3) OLD SIGN: see action items

4) NEW SIGN: Tabled because of tree costs etc

5) ROAD: New guy coming today at 1pm. With new landscaping, want to decide if we really CAN'T have the road owned by the county
  -Have someone from the county come in and give us ALL information of what would be required to make the county owned. What would have to change, what rules we would have to adhere to.
  -Idea: If they take the road, use the money to reinforce septic tanks etc.

6) PARTY: Host Memorial Day Party Sunday in the evening at Deborah's. 

7) Board meeting schedules, dues, having documentation for changing exteriors rather than just verbal agreements, updating blog.

ACTION ITEMS (by Memorial Day Party):
1) TREES:
OBJECTIVE: Plan for replacing trees NOW and plan for FUTURE so we know what to do each time there is an issue: 
         DJ - Ask suggestions for trees, number of trees, and estimate and information about taking care of Bradford Pears: Call Kiefer Nursery
         RANDY - same for Orange Farm & Garden Nursery 
         DEBORAH - find old invoice with previous trees planted in neighborhood

2) COMMON AREA:
OBJECTIVE: Get volunteers for mowing and introduce pilot program
         MIKE - Send out email asking WHO is willing to be involved
               - Who wants to be involved
               - Pilot program: keep track of how many times people mowed and cost of gas and think about reimbursing at the end of the summer

   WEEDING & Gluten: Deborah & Rod

3) OLD SIGN: RANDY - Talk to Tim Hover about sign removal

4) N/A

5) ROAD:
    RANDY: Talk to road guy today and get quote
    NANCY - Ask someone from the county come out and tell us everything required for road to be owned by county, etc. WHEN would they take care of the road? How would be prioritized?
    ROAD FUND: $15K - $17K

6) PARTY:
    DEBORAH: Shopping for party
    NEIGHBORHOOD: Everyone else brings sides or desserts

7) OTHER: 
DEBORAH: Create Emergency Contact Sheet with information for everyone 
    -find email about board meeting frequencies

 NANCY: create and maintain blog
